Project Description:

Configure existing Elastix Server and Update to newest software available (including the “extra’s” like sugarcrm, vtiger, etc).

Set up/configure 6 Cisco 7960 IP Phones.

Once Elastix box is working properly freelancer to help me port 2 incoming numbers (that I currently have with Vonage) to system with either my current provider Link2Voip or help choose another provider upon recommendation. I currently have 2 other numbers coming into this system and we do our outgoing calls with this system.

One of the numbers we need to port is a fax line, set that fax line up. I’m open to having incoming fax’s just stay electronic, BUT we need to be able to fax out hard copies of documents from our fax machine which is a Xerox Work Centre 575 if at all possible.

*Very important thing is for freelancer to be available during daylight hours here in Pensacola, FL which is central standard time.

Details: The current configuration has the 2 incoming phone lines playing a music file and about every 10 seconds saying please continue holding and someone will be with you. I like this configuration, however I need the music (I will actually record the music file myself of a mix of music and talking to customer about our services) to be different and specific for each incoming phone line as well as the ring on the phone to be a specific ring so we know which phone number/business is being called. For example, the phone number that we will port over from vonage will have certain music/sayings that apply to that specific company, where the other number will have a different set of music/saying.

After a pre-determined time of music playing we need the voicemail to pick up.

The system will need to be able to either automatically based off of day and time OR manually be switched over to a voicemail during non business hours with custom greeting saying when we will be back in the office.

Additional: **This is not mandatory for the bid above but would be nice to configure into this one. Please note if your bid includes this additional work.

Currently our “service” business (home inspections) uses google calendar to schedule appointments for 3 inspectors and also tracks calendar items for 4 other office personell. I would like a solid open source program that can be configured to do the same thing as google calendar but our own “in house” version of it so we don’t have to worry about google privacy issues.

The elastix server has both Sugar CRM and VTiger CRM on it already.

What I’m looking for is a process like this: Customer calls in, application pops up with phone number and any caller id information, our receptionist answers, she gets the customers information and what kind of inspection they need, they set a calendar appointment (the calendar appointment will be specific verbiage and must have an invite capability to send to customer and a reminder capability to email the customer before appt - sms reminders would be great too if possible). The contact file is now tied to the calendar entry, email address, etc.

Another huge part of what we do is our customers typically come from 1 of 200 referal sources that need to know that we did work for these customers, so we would need something like 2 sets of contacts tied together where the customer contact could have a field where we enter who the referral person was so that we can send them information about the customer after service is completed.

I have looked a little at Zimbra for some of the above.

The last key part of the above process is a shared “cloud” as part of the application where we can upload documents for our inspectors in the field to access, change, and then re-save for the office to finish the file.

Again, the “additional” part can be left off of the bid and I can find someone else to develop after the phone system is working properly. We do have an excellent linux server in seperate of the linux elastix server that we can use for some of the additional. Thanks.
