Car Rental Back Office Software (web hosted)

I would like to add a new element to our website. We are a travel agency with a car rental department. We need to develop or buy a ready made back office application to manage our rental reservations, vehicle management etc. This would be a mostly back office application for our Car Rental company in Karibu. ([login to view URL] for more info) Perhaps we can host the back office in the same domain, and have it link to our front office somehow as well. But the back office is more important. It would mostly be database work and here are the preliminary requirements. Let me know if you are interested and how much you would charge for the below. Car rental and Booking reservation System Purpose: For Karibu to manage its vehicles and customers through a vehicle maintenance system and a customer reservation module. Modules required: 1. Vehicle maintenance 2. Fleet Management 3. Reservations management 4. Customer Relationship Management 5. Reporting 6. Drivers/Staff management 1. Vehicle Maintenance Maintenance Form In this module the rental manager can fill our a maintenance form for a vehicle when it is due for service or when it needs to go to garage. Sample fields in this form would be - Mileage out - Reason for maintenance - (autofill) last usage - Vehicle ID - Date out When the vehicle is returned from maintenance then there needs to be an option to re-open this form and type in - Mileage in - Maintenance performed - Date in - (autofill) Days taken Fuel Form To fill fuel drivers need to collect a special Fuel card from our office. Our office only releases the card when a FUEL FORM has been filled out. These forms are printed manually and need to be entered into the Fuel Form online so we can track the usage on each vehicle. The fields in this will be: - Vehicle ID - Mileage - Current Fuel (quarter, full etc.) - Amount filled (can be edited later) - Driver - (autofill) Last refuelled date - (autofull) mileage since then 2. Fleet Management Dashboard Repair log (automated) Fuel Usage (automated) Current Status (automated) Vehicle Details Enter vehicle details and photograph in this form to be added to the database (will provide full list of fields later) Vehicle Documentation Management Insurance, Road license, service etc… enter details with automatic reminders when expiring 3. Reservations Management An automatic email can be sent to the customer when they have been booked with the booking details. Calendar See a visual calendar where all the bookings are easily visible and new bookings can be inserted by choosing dates Add new reservation Book a vehicle for either rental or Transfer - Customer - Vehicle ID - Driver (or self drive) - Mileage out - Price (daily, monthly, yearly, flat) Edit a reservation Edit an existing reservation (this must be logged and authorized) 4. CRM Standard CRM to keep track of customer information and auto fill fields when making a reservation. Must be able to import our list. - Customer list (Name, Company, Number etc.) - Preferences (vehicle, driver) - History - Payment (amount, paid?) 5. Fleet Management Reporting is very important. We should be able to drag and drop from a selection of fields we want to see in a spreadsheet and then it creates the spreadsheet for us. Also these can be converted into graphs. Or we can have ready graphs of the more popular reports. 6.
